Edit a User’s Information

Overview

You can edit a user’s details at any time from the When I Work Staff Scheduling app.

You can also edit a users from your computer or Android device.

Considerations

  • You must have supervisor, manager, or admin level access to edit a user’s information.
  • A registered user’s email address cannot be changed by an admin, manager, or supervisor if the user has already registered. The user can edit their email by logging in from a computer, the Android app or the iOS app.

Edit a user’s information

  1.  From the When I Work Staff Scheduling app, tap the More icon More tab at the bottom of the screen.
  2. Tap Employees from the Toolbox list.
  3. Tap the user that you want to edit.
  4. Tap Edit.
  5. Edit the user’s details:
    1. Profile picture
    2. First name
    3. Last name
    4. Phone number
    5. Employee ID
    6. Role
    7. Max Hours/ Week
    8. Timezone
    9. Notes
  6. Edit the user’s assignments:
    1. Tap  next to Add Schedule to add the schedules they are qualified to work.
    2. Tap  to the right of the Schedules users are unqualified to work to remove a user from a schedule.
    3. Tap  next to Add Position to add the position(s) they are qualified to work.
    4. Tap  next to the positions they are no longer qualified to work to remove a position from the user’s profile.
    5. Tap  next to Add Tag to add the tags they are qualified to work.
    6. Tap  next to the tags they are no longer qualified to work to remove a position from the user’s profile.
  7. Tap Save on the top right of the screen.
