Submitting Absence for Employees

Overview

Submitting absences on behalf of employees allows you to record the absence or find coverage for the shift. You can also report an absence from a Computer or iOS device.

Considerations

In order to submit an absence on behalf of another employee:

  • You must have supervisor, manager, or admin access privileges.
  • The setting is enabled for the workplace.
  • The shift has to be published.
  • The shift’s start time must be within the next 24 hours or has already passed.

Steps

  1. From the When I Work Scheduling app, tap Scheduler at the bottom.
  2. Tap the shift that the employee will be absent for.
  3. Tap Report Absence.
  4. Add a note (A) and tap (B) to save.
  5. (Optional) If you want to find coverage for the shift, tap Find Replacement.
  6. Tap Get Shift Covered (A). If the Absence needs to be deleted, tap the on the top right (B).
  7. You can either Create a Drop Request (A) or Move to OpenShift (B). If you tap Create a Drop Request, you will be able to select which users get the request. If you tap Move to OpenShift, the shift will be able to be picked up by any eligible user.
