Submitting Absence for Employees

Overview

Submitting absences on behalf of employees allows you to record the absence or find coverage for the shift. You can also report an absence on a computer or Android device.

Considerations

In order to submit an absence on behalf of another employee:

  • You must have supervisor, manager, or admin access privileges.
  • The shift has to be published.
  • The shift’s start time must be within the next 24 hours or has already passed.

Steps

  1. From the When I Work Staff Scheduling app, tap Scheduler at the bottom.
  2. Tap the shift that the employee will be absent for.
  3. Tap Report Absence.
  4. Add a note and tap Save.
  5. (Optional) If you want to find coverage for the shift, tap View Details.
  6. Tap Get Shift Covered.
  7. You can either Create a Drop Request (A) or Move to OpenShift (B). If you select Create a Drop Request, you will be able to select which users get the request. If you select Move to OpenShift, the shift will be able to be picked up by any eligible user.
