Overview

Create a custom report to gain insights, fine tune your business, and schedule more efficiently. Use the integrated report builder to create as many custom reports as you need.

You can drag and drop columns right in the app to arrange the data exactly how you want. Additionally, you can filter, sort, and rearrange the data right in the app. Any refinements you make are preserved when you export your report.

Considerations

  • Data availability for the Shifts and Times report spans the past 3 months and 3 months into the future.
  • Data availability for the Shift History report spans the past 60 days.
  • Reports cover a 180 day duration period.
  • Data in the Shifts and Times reports are available in real-time. This means that data included in the reports reflect the latest updates to the scheduler and timesheets.
  • Data in the Shift History report are current as of the prior midnight in your account’s timezone. Any data from midnight until the current time will be reflected in the next day’s report.

Create custom reports

To create a custom report, click Reports. Click the Custom Reports tab, then click New Report.

Report type
The report type you chose when creating the report. Click to generate a new or different report.

Date range
The date range you chose when creating the report. Click to change the date range for the report.

Account
Name of the account the report is for. Click to change the account.

Filters
Use filters to narrow down data to specific people, places, and behaviors.

Columns

Use the Columns sidebar to show or hide columns, reorder columns, and create a pivot of the data you are refining.

The columns sidebar is divided up into:

  • Pivot Mode
  • Column Names
  • Row Groups
  • Values

Search
Type here to search for the filter you want to find.

Column heading
Each column heading can be dragged and dropped to arrange your report.
Additionally, each column heading can be pinned, grouped, filtered, and autosized.

Reset
Click Reset to reset the modifications you have made to your report.

Load
Click Load to load a saved report definitions.

Save
Click Save to save current report definitions to run the same report later.

Export
Click Export to build your report and send to your email.
Callout Name Description
a Report type The report type you chose when creating the report. Click to generate a new or different report.

Report types

Shifts report

Use the Shifts report data to understand how managers and employees are interacting with their schedule. For example, you can:

  • See which OpenShifts aren’t being filled
  • View scheduled hours by schedule, position, and job site
  • View shifts from all schedules in one report
  • Identify no shows (blank time entry)

Times report

Use the Times report to compare user’s time entries to scheduled shifts as well as determine patterns of behavior that might contribute to attendance issues. You can also dig into more detailed clock in and clock out information not visible elsewhere in When I Work.

Shift History report

Use the Shift History report to trace shift changes that can help resolve labor disputes, hold staff accountable for their actions, and identify patterns of behavior over time. For example, you can:

  • Determine when shift edits are taking place
  • Investigate shift confirmation behavior
