This article provides examples of some data that can be pulled from the Times report within the reporting feature of When I Work.

Example scenarios

View a user’s clocked times

If you’re having performance issues with a particular user, you might want to review all their punched times to check for irregularities. 

  1. Click Reports.

  2. Click Custom Reports, then click New Report.
  3. Create a Times report for the date range you want.
  4. Filter by:
    • Employee Last Name
    • Employee First Name
    • Employee ID

Summarize worked hours by schedule and position

You might want to summarize worked hours to compare them with the plan as recorded in the schedule.

  1. Click Reports.

  2. Click Custom Reports, then click New Report.
  3. Create a Times report for the date range you want.
  4. Click Columns, then click Pivot Mode.
  5. Drag Schedule Name to Row Groups.
  6. Drag Length to Values, then click to select sum function.
  7. Drag Position Name to Column Labels.

Find all times that clocked in early

If you suspect users are clocking in early, you can run this report to find all punches to see if there’s a pattern of behavior that needs to be corrected.

  1. Click Reports.

  2. Click Custom Reports, then click New Report.
  3. Create a Times report for the date range you want.
  4. Expand Clock In Was Early filter, then select true.

Find early and late punches by user

  1. Click Reports.

  2. Click Custom Reports, then click New Report.
  3. Create a Times report for the date range you want.
  4. Filter one of the following columns to true values:
    • Clock In Was Early
    • Clock Out Was Early
    • Clock In Was Late
    • Clock Out Was Late
  5. Group by Employee Name.

Find all times that were late clock outs

This report is useful when you want to see all users that were late clocking out across all schedules.

  1. Click Reports.

  2. Click Custom Reports, then click New Report.
  3. Create a Times report for the date range you want.
  4. Click the Clock Out Was Late filter, then select true.

Find times for an archived user

If you want to view an archived user’s time entries, simply run a report filtered by the user’s name.

  1. Click Reports.

  2. Click Custom Reports, then click New Report.
  3. Create a Times report for the date range you want.
  4. Expand Employee Name filter and select the archived user’s name.

Find all clock in methods

This report is useful to see what methods your users are using to clock in (mobile, terminal, computer).

  1. Click Reports.

  2. Click Custom Reports, then click New Report.
  3. Create a Times report for the date range you want.
  4. Click Columns, then drag Clock In Method (or Clock Out Method) to Row Groups.
  5. Optional: Drag Employee Name to Row Groups, then click Pivot Mode to group the clock-in methods by employee.

Find all clock in or clock out locations

This report is useful to see if users are clocking in from locations you expect.
Note: If using Latitude and Longitude for location you may need to use third-party software to determine the exact location.

  1. Click Reports.

  2. Click Custom Reports, then click New Report.
  3. Create a Times report for the date range you want.
  4. Filter the report by the person or group you are interested in (employee, schedule, job site).
  5. Look at the following columns in the report or pin them for easier visibility:
    • For clock in behaviors, choose Clock In IP Address, Clock In Latitude, and Clock In Longitude.
    • For clock out behaviors, choose Clock Out IP Address, Clock Out Latitude, and Clock Out Longitude.

View user’s clocked times by schedule or job site

This report is useful when you need to review user punches by schedule or job site in one place. There are two methods you can use:

Filter method

  1. Click Reports.

  2. Click Custom Reports, then click New Report.
  3. Create a Times report for the date range you want.
  4. Click Columns, then drag Employee Name to Row Groups.
  5. Click Filters, then filter by:
      • Schedule Name
      • Job Site Name

Group method

  1. Click Reports.

  2. Click Custom Reports, then click New Report.
  3. Create a Times report for the date range you want.
  4. Click Columns, then drag Employee Name, Schedule Name and Job Site Name to Row Groups.

Summarize worked hours by (user / position / schedule)

This report is useful when you want to see worked costs broken down in various ways to see where worked hours are coming from.

User-centric approach

  1. Click Reports.

  2. Click Custom Reports, then click New Report.
  3. Create a Times report for the date range you want.
  4. Click Columns, then click Pivot Mode.
  5. Drag Employee Name to Row Groups.
  6. Drag Length to Values. Click Length to select sum.

Schedule/position-centric approach

  1. Click Reports.

  2. Click Custom Reports, then click New Report.
  3. Create a Times report for the date range you want.
  4. Click Columns, then click Pivot Mode.
  5. Drag Schedule Name and Position Name to Row Groups.
  6. Drag Length to Values. Click Length to select sum.
