Overview

When I Work integrates with MindBody to increase operational efficiency through some automations. With this integration you can:

• Create and update user records in When I Work based on your users in MindBody.
• Update the sales amount by day and by Schedule in When I Work based on sales data captured in MindBody.
• Create and update shifts in MindBody based on shifts created and modified in When I Work.
• Create and update clock in/clock out entries in When I Work based on clock ins for shifts in MindBody.

Requirements

• You must be on a paid When I Work plan.
• You must have a MindBody product.
• You must specify what Schedule in When I Work you want MindBody mapped to.
• An active integration user profile must exist in the account. This profile occupies a seat in the workplace.

Use the following high level steps as a guide to help get your account set up.

1. Contact Customer Care about the MindBody integration.
2. Complete the MindBody Configuration Form that Care provides. The form includes additional steps that help get your account set up and verify information is accurate.
3. Customer Care enables the integration for your When I Work account.

Integration details

MindBody user sync to When I Work

The user sync creates and updates users in When I Work based on user profiles created or edited in MindBody.

Specifics:

• The user sync occurs daily at 7am EST. This sync can also be manually triggered by our Customer Care Team if needed.
• MindBody Teachers are added to When I Work users and added to the Default When I Work Schedule.

MindBody sales data sync to When I Work Forecast Tools

The MindBody Sales Data sync updates the previous day’s sales amount by day and by Schedule in When I Work based on sales data captured in MindBody.

Specifics:

• The sales data sync occurs daily at 3am EST. This sync can also be manually triggered if needed.
• Actual Sales (Forecast Tools): Total sales for that day in MindBody.
• Examples of sales:
  • Monthly recurring charge that occurred.
  • Random purchases at the location.
  • Payment made for a class.

MindBody shifts data sync to When I Work

The shifts sync creates and updates shifts in When I Work based on shifts created and modified in MindBody.

Specifics:

• The shifts data sync occurs daily at 3am EST (one week into the future). This sync can also be manually triggered if needed.

MindBody clock in/clock out data sync to When I Work

The clock in/clock out sync updates clock in and clock out times of users in When I Work timesheets to coincide with their assigned class start and end times in MindBody.

Specifics:

• The sync occurs every 5 minutes.
• The clock in / clock out actions are driven by classes starting and ending in MindBody

MindBody shift assignments data sync to When I Work

The shift assignment sync creates and updates shift assignments in MindBody based on employees assigned to a shift (created and modified) in When I Work.

Specifics:

• The shifts data sync occurs daily at 3am EST (one week into the future). This sync can also be manually triggered if needed.
