When I Work takes your data privacy seriously. We limit the amount of data that is used and we operate and enforce privacy policies and data protection policies.

Data use and policies

Limited user data

The following is the limited set of data per user profile:

• Full name
• Email address
• Login name
• Position (job)
• Telephone number¹
• Hourly rate¹

GDPR & CCPA requests

If you have a General Data Protection Regulation (GDPR) or California Consumer Privacy Act (CCPA) related request, submit a request and our Customer Care team will get it answered promptly.

Onboarding and offboarding users

Onboarding users

To provide access, customers add users to the When I Work application, invite the users, then the user completes the registration to complete their profile.

• A user’s profile provides controls for displaying their information as well as alert and notification subscriptions.

Offboarding users

To terminate access, customers have the option of archiving individual users to end their access to their workplace.

Data removal

If you would like your data removed from the When I Work platform, submit a request for the email and name to be processed through the Customer Care team.
