Using the Dashboard (Scheduling and Attendance)

Overview

The dashboard gives you a quick look at what’s going on in your business. You’re able to monitor shift coverage, labor costs, and attendance notices right from one page.

If you don’t use Time Clock & Attendance with Scheduling, check out Using the Dashboard (Scheduling Only Accounts) instead. 

Considerations

  • The dashboard is only available to users with supervisor, manager, or admin access.
  • You must have manager or admin level access to view the Worked Labor Cost and Pay Period Forecast sections of the Dashboard.
  • Your users must have hourly rates for the Time Clock & Attendance data to report correctly.

Customize your dashboard

Your dashboard can be customized to hide and rearrange cards to highlight the information that is most valuable to you. To configure your dashboard, click in the top-right corner.

The dashboard configuration screen appears.

On the configuration screen:

  • Toggle the switch off to hide cards from your dashboard. By default, all cards are switched on.
  • Sort cards by clicking and holding then dragging to re-order the cards.

Today’s Schedule

Today’s Schedule gives a preview of the schedule for the current day.

In Today’s Schedule:

  • Click the All Schedules drop down to select which schedule to view.
  • If you use Tasks, click Task Lists to view the Task Lists assigned for the day.
  • Click Calendar Sync to sync to a calendar.

Today’s Snapshot

Today’s Snapshot shows a quick look into items for today that may need your attention.  todays snapshot

  • To take action on an item, click the view link beneath the reminder. 
  • Click View Schedule to go right to the Scheduler.
  • To compare today’s scheduled shifts with actual clocked in hours, click Time Tracker.

Attendance Notices

Attendance Notices show alerts related to your user’s attendance that need your attention. For more information, check out Attendance Notices.

  • Click Clear All Notices to clear all attendance notices for the last 7 days.
  • Click to filter attendance notices by type.
  • Click for more options.
    • Select Attendance Notices Report to navigate to Reporting to generate Attendance Notice Reports. See Reporting Reference for more information.
    • Select Show Cleared Notices to recover recently cleared notices.

Coverage

The Coverage graphs provide a way to quickly preview coverage for published OpenShifts and Assigned shifts by position, schedule, and job site.

Click to switch between viewing OpenShifts or Assigned Shifts.

Change the time period you’re viewing:

    • Click  button to go back to the previous day, week, or month (depending on your current view).
    • Click  button to go to the next day, week, or month (depending on your current view).
    • Click button to choose a specific date.

Click Today to return to today’s date.

Click the drop-down menu to switch between day and week views.

Use the drop-down menu to filter the Coverage graph by position, schedule, and job site.
Callout Description

Coverage by Position

Select By Positions to visualize which positions have shifts in the selected time range. Shifts are color-coded in the bar graph based on their position assignments.

 
  • Use the table on the right to view the weekly total breakdown of shifts by position.
  • Click a position name in the table to show shifts for only that position in the bar graph. Click the selected position again to revert back to viewing All Positions in the graph.
  • Hover over the bar graph to show a breakdown of shifts by position.
  • Click to sort from positions with the least amount of shifts to the most.
  • Check Only Show Positions With Shifts to hide positions with zero shifts.
  • Click View Shifts in the table to navigate to the Scheduler. 

NOTE: Shifts without an assigned position appear under No Position.

Coverage by Schedule

Select By Schedules to visualize shift coverage across schedules or locations for the selected time range.

Coverage by Job Site

Select By Job Sites to visualize shift coverage across job sites for the selected time range. Shifts are color-coded in the bar graph based on their job site assignments.

 
  • Use the table on the right to view the weekly total breakdown of shifts by job site.
  • Click a job site name in the table to show shifts for only that job site in the bar graph. Click the selected job site again to revert back to viewing All Job Sites in the graph.
  • Hover over the bar graph to show a breakdown of shifts by job site.
  • Click to sort from job sites with the least amount of shifts to the most.
  • Check Only Show Job Sites With Shifts to hide job sites with zero shifts.
  • Click View Shifts in the table to navigate to the Scheduler. 

NOTE: Shifts without an assigned job site will appear under No Job Site.

Worked Labor Cost

Worked Labor Cost shows a breakdown of worked labor costs based on user’s time entries. This section can be viewed by position, schedule, and job site. Labor cost is sorted from the highest to lowest in the table on the right.

View Worked Labor Cost by Position

Select By Positions to visualize worked labor cost by position in the selected time range. The bar graph is color-coded based on their position assignments. This view allows you to visualize your labor costs for each position across your locations. It also indicates the percentage of labor cost that each position accounts for, so you can view which positions have the highest or lowest costs. 

 
  • Use the table on the right to view the total breakdown of labor costs by position.
  • Click a position name in the table to show labor costs for only that position in the bar graph. Click the selected position again to revert back to viewing All Positions in the graph.
  • Hover over the bar graph to show a breakdown of labor cost by position.

NOTE: Worked hours without an assigned position for the time entry appear under No Position.

View Worked Labor Cost by Schedule

Select By Schedule to visualize worked labor cost by schedule in the selected time range. This view allows you to visualize your labor costs sorted for each schedule. It also indicates the percentage of the labor cost that each job site accounts for, so you can get a better understanding of which job sites have the highest or lowest labor costs. 

 
  • Use the table on the right to view the total breakdown of labor costs by Schedule.
  • Click a schedule name in the table to show labor costs for only that schedule in the bar graph. Click the selected schedule again to revert back to viewing All Schedules in the graph.
  • Hover over the bar graph to show a breakdown of labor cost by schedule.

NOTE: Worked hours without an assigned job site for the time entry will appear under No Schedule.

View Worked Labor Cost by Job Site

Select By Job Site to visualize worked labor cost by job site in the selected time range. The bar graph is color-coded based on their job site assignments.This view allows you to visualize your labor costs for each schedule. It also indicates the percentage of the labor cost that each schedule accounts for, so you can view which teams or locations have the highest or lowest labor costs. 

 
  • Use the table on the right to view the total breakdown of labor cost by Job Site.
  • Click a job site name in the table to show labor costs for only that job site in the bar graph. Click the selected job site again to revert back to viewing All Job Sites in the graph.
  • Hover over the bar graph to show a breakdown of labor cost by job site.

NOTE: Worked hours without an assigned job site for the time entry will appear under No Job Site.

Pay Period Complete

If you have a completed pay period that you have not closed, it appears here. Click Close Pay Period to be taken to the Timesheets and close the pay period.pay period complete

Pay Period Forecast

The pay period forecast card lets you see how your actual hours (worked) are trending compared to your planned hours (scheduled).Pay period forecast Hover over the chart to see the daily data point for Scheduled vs. Worked hours. The card gives a visual you can use to fine tune future scheduling or build a case for hiring more employees.

  • Scheduled: The total number of scheduled hours for the pay period.
  • Projected: A projection of how the pay period will progress over time based on worked hours. These hours are calculated by adding any worked hours from yesterday and older to all remaining scheduled hours from today and the future.Projected info
  • Difference: The difference between scheduled hours and projected hours represented as a percentage.difference info

Click Export to export a labor report of a selected date range of your choice.

Custom Pay Period Frequency

The Pay Period Forecast card is not available when a custom pay period frequency is selected.
