Overview

When employees request time off or ask to swap or drop a shift, you can use the When I Work Staff Scheduling app to process the requests from your iPhone.

You can also process requests from your computer or Android phone.

Things to know before you begin

  • You must have supervisor, manager, or account holder access privileges to process employee requests. If you’re a supervisor, you can only process requests for employees that belong to your locations.
  • Time off requests do not require approval if Require Manager Approval is turned off in App Settings.
  • If you submit a time off request on an employee’s behalf, the request is automatically approved.
  • Swap and drop requests do not require approval if Require Manager Review is turned off in App Settings.
  • All requests (time off, shift swap, shift drop, and shift alert) have a status. Learn more about the different Request Statuses.

Processing swap and drop requests

  1. From the When I Work Staff Scheduling app, tap Requests Needing Action.
  2. Tap the Swap or Drop request you want to process.Requests
    • Requests with a Pending tag need action from a supervisor, manager, or account holder.
    • Requests with a Waiting tag need action from employees.
  3. (Optional) If you would like to change who the swap or drop request is offered to, clear the checkbox next to the shift (swap request) or employee (drop request).View request
  4. Approve or deny the request.
    • To approve the request, tap Approve at the bottom of the screen. Employees on the request are automatically notified.
    • To deny the request, tap Deny at the bottom of the screen. The employee that submitted the request is automatically notified.

Processing time off requests

  1. From the When I Work Staff Scheduling app, tap Requests Needing Action.
  2. Tap the Time-Off request you want to process.Requests
  3. Approve or deny the request.View time off request
    • To approve the time off request, tap Approve at the bottom of the screen. The employee is automatically notified.
    • To deny the time off request, tap Deny at the bottom of the screen. The employee is automatically notified.
