Creating and Managing Schedules

Overview

Schedules allow you to group users together when you’re scheduling shifts. A schedule might represent a physical place of business, a department, a geographical region, or a group of users you want to schedule independently within When I Work.

You can also create and manage schedules from your computer or iOS device.

Considerations

  • You must have manager or admin level access to create and manage schedules.
  • Deleting a schedule removes all shifts, shift templates, and job sites associated with the schedule. We recommend exporting shifts before deleting a schedule.
  • Deleting a schedule cannot be undone.

Create a schedule

  1. From the When I Work Scheduling app, tap More in the bottom-right corner of the screen.
  2. Scroll down and tap Schedules.
  3. Tap in the top-right corner of the screen.
  4. Enter the schedule details:
    1. Name: (Required) Enter a name for the schedule.
    2. Location: (Optional) Enter an address for the schedule’s location.
  5. Tap in the top-right corner of the screen when you’re finished.

Edit a schedule

  1. From the When I Work Scheduling app, tap More in the bottom-right corner of the screen.
  2. Scroll down and tap Schedules.
  3. Tap the schedule you want to edit.
  4. Tap in the top-right corner of the screen.
  5. Edit the schedule’s details.
  6. Tap  in the top-right corner of the screen when you’re finished.

Delete a schedule

  1. From the When I Work Scheduling app, tap More in the bottom-right corner of the screen.
  2. Scroll down and tap Schedules.
  3. Tap the schedule you want to delete.
  4. Tap in the top-right corner of the screen.A confirmation appears.
  5. Tap Delete to delete the schedule.

Search schedules

  1. From the When I Work Scheduling app, tap More in the bottom-right corner of the screen.
  2. Scroll down, then tap Schedules.
  3. In the top-right corner of the screen, tap .
  4. Enter the name of the schedule you want to find. The list is filtered to your search criteria automatically.
