Accepting Shift Swap and Drop Requests

Overview

If one of your coworkers invites you to trade shifts (swap) or take a shift (drop), you can accept the request from the When I Work Employee Scheduling app on your iPhone or iPad.

You can also accept swap and drop requests from your computer or Android phone.

Things to do before you begin

Make sure the When I Work Employee Scheduling app is installed on your iPhone or iPad.

How am I notified about a swap or drop request?

By default, When I Work sends you an email notification when you receive a shift swap or drop request. If you’d like to receive notifications from the When I Work Employee Scheduling app in addition to or instead of email notifications, modify your alert preferences.

Accepting a shift swap request

  1. Open the When I Work Employee Scheduling app on your iPhone or iPad.
  2. On the Dashboard, tap Requests Needing Action.Requests Needing Action
  3. In the Needing Your Action list, tap a Swap request.Swap request in Requests list
  4. In the Potential Trades list, tap the shift that you would like to trade for the offered shift.
    The list includes shifts that the offering employee would accept, which may include shifts assigned to your coworkers.

  5. At the bottom of the screen, tap Trade Shifts.

Accepting a shift drop request

  1. Open the When I Work Employee Scheduling app on your iPhone or iPad.
  2. On the Dashboard, tap Requests Needing Action.Requests Needing Action
  3. In the Needing Your Action list, tap a Drop request.Requests list drop request
  4. At the bottom of the screen, tap Take Shift.Take Shift
